This policy explains how PAS Healthcare Solutions Ltd (“we”, “us”) handles your personal information when you visit our website, contact us, message us on WhatsApp, or apply to work with us. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
We are a healthcare staffing agency supplying healthcare assistants, support workers, nurses and live-in carers to care providers across the UK. We are the “data controller” for the information described in this policy, which means we decide how and why it is used.

The information we collect
The information we collect depends on how you deal with us.
- When you use our contact form: your name, email address, phone number (optional) and the message you write.
- When you apply to work with us: your name, email address, phone number, town or postcode, the role you want, your experience, whether you have the right to work in the UK, your Enhanced DBS status, your availability, any message you add, and your CV. A CV may contain further details such as your work history, qualifications and referees.
- When you phone, email or message us on WhatsApp: your phone number or email address, your name if you give it, and the content of your messages.
- When you become a candidate or worker with us: the information needed to check and place you safely, such as identity and right-to-work documents, references, DBS check outcomes, training records and details of the shifts you work.
- Technical information: when you visit our website, our web server records your IP address, browser type, device and the pages requested. This is used for security and to keep the site working.
- Our staff: if you are a member of our team who uses the website dashboard, we hold your name, work email and a securely encrypted password.
Please do not include sensitive details in your CV or messages that are not needed to consider your application, such as health information, unless we ask for it.
How and why we use it
We must have a lawful reason (a “lawful basis”) to use your information. These are ours:
| What we do | Information used | Our lawful basis |
|---|---|---|
| Reply to your enquiry | Name, contact details, your message | Legitimate interests (answering people who contact us); taking steps you ask for |
| Consider your application and register you as a candidate | Application form details and CV, right-to-work and DBS status, availability | Legitimate interests (finding suitable work for candidates and suitable staff for clients); taking steps at your request before a contract |
| Carry out compliance checks before a placement | Identity and right-to-work documents, references, DBS outcome, training records | Legal obligation and legitimate interests. Criminal offence data is used only where the law allows and, where needed, with your consent |
| Match you to vacancies and put you forward to clients | Name, experience, qualifications, availability | Legitimate interests, and your agreement where required |
| Keep our website secure and working | IP address, browser and device details | Legitimate interests (security and reliability) |
| Meet legal and regulatory duties | Records that show we have followed the rules | Legal obligation |
| Send job alerts or news (only if you ask us to) | Name and contact details | Consent, which you can withdraw at any time |
We do not sell your personal information, and we do not use the website forms to sign you up for marketing.
Who we share it with
We only share your information when we need to, and only the details that are necessary:
- Our clients (care homes, hospitals and other providers), when we put a candidate forward for work or place them on a shift.
- Service providers who help us run our business, such as website hosting, email, and DBS and identity checking services. They may only use your information on our instructions.
- Regulators, the police and other authorities, where the law requires or allows it.
- Professional advisers, such as our accountants, insurers and lawyers, where necessary.
Transfers outside the UK
Some of the services around our website are provided by companies that may handle data outside the UK. For example, our pages load fonts from Google, which receives your IP address when your browser requests them, and WhatsApp is operated by Meta. Where information is transferred abroad, we rely on safeguards the law recognises, such as the UK’s adequacy regulations or approved contract terms.
How long we keep it
- Website enquiries: normally up to 12 months after our last contact with you, unless we are working together.
- Applications and candidate records: for as long as you are registered with us and for the period employment-agency rules require after our last dealings with you, then deleted or anonymised unless you ask us to keep you on our books.
- Compliance records for workers we have placed: for the periods required by law and our contracts with clients.
- Website server logs: a short period set by our hosting provider.
The application and contact forms on our website send your details to us by email. We do not store them in a database on the website. They are then held in our email and recruitment records for the periods above.
How we keep it safe
Our website uses an encrypted (HTTPS) connection. Access to your information is limited to staff who need it, staff accounts use strong passwords, and the forms include protection against automated spam. No system is completely secure, so please take care with what you send, especially by email.
Your rights
Under data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, in some circumstances;
- ask us to restrict how we use your information, in some circumstances;
- object to us using your information where we rely on legitimate interests;
- ask for your information in a portable format, where it applies; and
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, contact us using the details below. We will reply within one month. If you are unhappy with how we handle your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
